Privacy Policy

This Privacy Policy explains how WOW Light Signal AI Academy(“WOW Light Signal”, “we”, “us” or “our”) collects, uses, shares and protects personal data when you visit wowlightsignal.com(the “Website”), contact us, or use our AI Mock Interview service (the “Mock Interview”).

We process personal data in accordance with the Digital Personal Data Protection Act, 2023 and other applicable laws of India, and we are the Data Fiduciary for the personal data described here. By using the Website, or by agreeing to this policy when you sign in to the Mock Interview, you acknowledge the processing described below.

1. Information we collect

We collect only what we need for the purposes described in this policy.

When you browse the Website

We use Google Analytics to understand how the Website is used: pages visited, time spent, the site that referred you, your device and browser type, and your approximate location (city or region) derived from your IP address. Our hosting provider also processes technical data, such as your IP address and browser details, to deliver and secure the Website.

When you contact us

If you use our enquiry form, we collect your name, email address, phone number, the subject and your message. If you email, call or message us on WhatsApp, we receive the details you share.

Testimonials

With your permission, we publish your name, designation, photograph, review and rating as a testimonial on the Website.

Event registration

Registration for our workshops, Faculty Development Programmes (FDPs) and internships is handled through the registration link shown on each event, which may be a third-party form. We use what you submit there to organise the programme, and the provider's own privacy policy also applies.

AI Mock Interview (invited candidates)

  • Account information: your email address and, where provided, your name, which an administrator adds when inviting you; the number of interview attempts allowed and used; your account status; and the time of your last sign-in.
  • Resume profile: a short profile created from your resume, containing your name, skills, projects (title, short description and technologies), achievements, and other highlights such as certifications or leadership roles.
  • Interview records: the questions generated for you; text transcripts of your spoken answers; for each answer, its duration, word count, speaking pace, number of filler words and whether time ran out; the difficulty level you chose; and a record of your consent (date, time and policy version).
  • Integrity signals: how many times you left fullscreen mode or switched away from the interview tab during an interview.
  • Evaluation results: the scores, feedback, model-answer points and recommendations produced for your interview.
  • Sign-in data: a one-way hash of each sign-in code we email you (never the code itself), with counters used to limit repeated requests.

2. Information we do not collect

  • We do not collect payment card or bank details through the Website.
  • Your resume file is read on your own device and is never uploaded. Only its extracted text is sent to us to prepare your mock interview, after which it is discarded and not stored.
  • We do not record or store audio of your voice.
  • The optional camera preview in the Mock Interview is shown only on your own screen. Video is never recorded, transmitted or stored.

3. How we use your information

We use personal data only to:

  • respond to your enquiries and provide the information you ask for;
  • organise our workshops, FDPs, internships and other programmes;
  • publish testimonials you have agreed to share;
  • understand how the Website is used, in aggregate, so that we can improve it;
  • run the Mock Interview: verify that you are authorised, generate questions tailored to your resume, evaluate your answers, apply attempt limits and integrity checks, and let authorised administrators review results and support you;
  • operate, maintain, secure and troubleshoot our services; and
  • comply with our legal obligations.

If you contact us, we may reply by email, phone or WhatsApp about your enquiry. We send promotional messages only if you have agreed to receive them, and you can opt out at any time. We do not sell your personal data, use it for targeted advertising, or use it to train artificial intelligence models.

4. AI-assisted processing in the Mock Interview

To generate your questions and evaluate your answers, we send your resume text and your answer transcripts to our AI provider, OpenAI, through its API. Under OpenAI's API terms, this data is not used to train OpenAI's models, although OpenAI may retain it for a limited period to detect and prevent abuse.

AI-generated questions and feedback can contain errors. Your results are provided to help you practise. They are not an official assessment, and no decision with legal or similarly significant effect on you is made solely by automated means.

5. Speech recognition and read-aloud

The Mock Interview uses your web browser's built-in speech recognition to turn your spoken answers into text, and its built-in voices to read questions aloud. Depending on your browser, your microphone audio may be processed by the browser provider (for example, Google for Google Chrome or Microsoft for Microsoft Edge) under that provider's own privacy terms. We receive only the resulting text.

6. Signing in with Google

If you choose to sign in to the Mock Interview with Google, Google shares your email address with us and confirms that it has been verified. We use this solely to check that your email address is on the authorised list and to sign you in. Any other basic profile information Google provides, such as your name or profile picture, is not used or stored, and we do not request access to your Gmail, Google Drive, contacts or any other Google data.

Google user data is not sold, used for advertising, or shared with third parties except as needed to provide the service or comply with the law, and it is not used to develop, improve or train AI models. Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. You can remove access at any time in your Google Account under Security › Third-party apps & services.

7. Cookies and browser storage

  • Website: Google Analytics sets cookies to measure how the Website is used. You can block or delete cookies in your browser settings, or install the Google Analytics opt-out add-on. We do not use advertising cookies.
  • Mock Interview: one strictly necessary cookie keeps you signed in for up to 7 daysor until you sign out. A few preferences are saved in your browser's local storage: that you have agreed to our Terms and this policy, your read-aloud accent and your camera-preview choice. The Mock Interview pages do not use analytics or advertising cookies.

8. Who we share your information with

We share personal data only as needed to provide our services, with:

  • Our authorised staff and administrators, who handle enquiries and programmes and, for the Mock Interview, manage candidate access and may view your profile, transcripts and results to run the programme and support you.
  • Service providers that process data on our behalf under their service and data-processing terms: Vercel (website hosting), MongoDB Atlas by MongoDB, Inc. (database hosting), Cloudinary (image hosting), Google (Analytics and Sign in with Google), OpenAI (Mock Interview question generation and evaluation) and Resend (sign-in emails).
  • Authorities, where required by law or legal process, or where necessary to protect the rights, safety and security of our users, the public or WOW Light Signal AI Academy.

9. International data transfers

Some of our service providers store or process data outside India, including in the United States. We transfer personal data only as permitted under applicable Indian law, and we take reasonable steps to keep it protected.

10. How long we keep your information

  • Enquiries are kept for as long as needed to respond to you and keep a record of our correspondence.
  • Testimonials stay on the Website until you ask us to remove them.
  • Analytics data is deleted automatically by Google Analytics under our retention settings.
  • Mock Interview records, resume profiles and evaluation results are kept for up to 12 months after the interview and are then deleted. Account information is kept while you remain on the authorised list, and for up to 12 months after that.
  • Mock Interview sign-in code records are deleted automatically within about an hour of being issued, and interview set-ups that are never started are deleted automatically after 24 hours.

We may keep information for longer where the law requires it. You can ask us to delete your data sooner (see “Your rights”).

11. How we protect your information

  • Data is encrypted in transit using HTTPS and encrypted at rest by our database provider.
  • Access to personal data is restricted to authorised staff and administrators.
  • Mock Interview sign-in codes expire after 10 minutes, allow only a limited number of attempts, and are stored only as one-way hashes. Your session is held in a secure, HTTP-only cookie.
  • Our application logs record technical events only. They never contain resume text, interview transcripts or sign-in codes.

No method of transmission or storage is completely secure. If a personal data breach occurs, we will notify affected users and the Data Protection Board of India as required by law.

12. Your rights

Subject to applicable law, including the Digital Personal Data Protection Act, 2023, you have the right to:

  • obtain a summary of the personal data we hold about you and how we process it;
  • have inaccurate or incomplete data corrected, completed or updated;
  • have your personal data erased;
  • withdraw your consent at any time (this does not affect processing that took place before you withdrew, but we may then be unable to provide some services, such as the Mock Interview);
  • nominate another person to exercise your rights in the event of your death or incapacity; and
  • have your grievances addressed.

To exercise any of these rights, email us at info@wowlightsignal.comfrom the email address you used with us, with the subject “Privacy request”. We may need to verify your identity before acting on your request. If you are not satisfied with our response, you may complain to the Data Protection Board of India.

13. Children

We do not knowingly collect personal data from anyone under 18 without verifiable consent from a parent or lawful guardian. The Mock Interview is intended for students and job seekers aged 18 or over. If you believe a child has given us personal data without such consent, please contact us and we will delete it.

15. Changes to this policy

We may update this policy from time to time. The effective date and version at the top of this page show the latest update. If we make material changes, Mock Interview candidates will be asked to review and agree to the updated policy before their next interview.
